Please note that the procedures for using and the look of the templates can vary slightly depending on your equipment and the version of Adobe Acrobat you are using. The form templates work best at a standard DeSC administrative desktop PC as it will have the proper software and software versions to allow the forms to function properly. You will need Netscape version 4.5 (or higher) and Adobe Acrobat Reader 4.0 (or higher) in order to use the form templates. If you need assistance in setting up or upgrading Netscape Communicator or Adobe Acrobat Reader on your computer, please call the OIT Help Desk at 258-4357 or contact them via their Web site at http://www.helpdesk.princeton.edu/.
All forms that have a template available will be so indicated by the underlined text in each form heading. To bring up a template, click once on the heading of the form you wish to fill out. The PDF forms will be very similar to our current hard copy forms..
Many of you have mentioned that it would be very nice to be able to save the completed forms on your computers so that they could be edited or revised later. With the PDF forms this is now possible if you have your NT administrator install a software program called Adobe Acrobat Exchange on your pc. This is _not_ the same as the Adobe Acrobat Reader software which is currently available on the DeSC machines. Acrobat Exchange software must be purchased separately and, at this point, OIT does not officially provide support for it. The forms will work fine online with Acrobat Reader but if you want to expand the functionality of the forms, I recommend you explore purchasing and having Acrobat Exchange installed on your pc.
Both types of forms may be completed by tabbing through the document and typing in the necessary information or clicking on the buttons.
Many of the forms are multi-page. Please be sure to click down on the right horizontal scroll bar to be sure you have filled in all required information on the template. Information can be entered only in the text fields or check-off buttons.
We prefer all dates to be entered in MM/DD/YY format.
When you enter data on the form, some of the fields will permit you to type beyond the screen block limits. However, please be aware that when the form is printed, ONLY THE DATA THAT SHOWS WITHIN THE SCREEN FIELD SIZE LIMIT WILL PRINT OUT ON THE HARD-COPY VERSION. Therefore, please keep your data within the screen field size or your data will be cut off when printed. You must tab outside of the multi-line blocks of text in the forms in order for the text to print on your hard-copy.
In addition to the form templates, there are also some general information sheets available in the bottom section from the Guide to Forms page which you may read and print out locally.
