The Invoice Processing section responsibility is to review and disburse University funds in accordance with its policies and procedures. Invoices are processed from external vendors as well as all non-travel payments to faculty and staff. Questions regarding payment of purchase orders, check request, wire transfers, petty cash, and independent personal services should be directed to this office. This section is also responsible for the accounting and distribution of Visa credit card and B to B Ecommerce purchases through the University.

All miscellaneous invoices must be signed by an authorized individual for that department. Authorization can only be granted by the Department Head or Department Chairman.

The University's check cycle is twice a week. The check runs are on Tuesday and Friday.

The Invoice Process section will not accept miscellaneous invoices made payable to a University employee or student, where a forwarding address is manually written on the document. Departments and individuals were notified to follow the directions written on the Miscellaneous Invoice and to take the steps to insure that the check is sent to the proper mailing address.

Direct Deposit via the Accounts Payable system is dependent upon banking information already provided by employees and students from Payroll. A direct deposit relationship must exist through Payroll for direct deposit to continue for miscellaneous invoices. If you have any questions, please review the University Financials website at

Departments that are requesting a University check for an Honorarium - To receive the actual check for presentation, the department must specify a call back number in the “Invoice“ field of the Vendor / Honorarium Voucher form. These checks will not be mailed out and the Treasurer’s Office will contact the individual for check pick-up.

Don’t Know If You Need to File a W9 Form?

Individuals receiving an Honorarium and payment for services to individual that are not incorporated must complete a W9 form. If you’re a company with a Federal Tax ID number and renders a service to the University, a W9 form is not required.
