1.)
What is the status of insurance if I am using my personal vehicle for University business and am involved in an accident?
 
     When your personal vehicle is used for official University business, you are reimbursed at a stipulated rate per mile. (Check with the Travel Department for the current rate.) The reimbursement factors in the cost for gas, oil, repairs, depreciation, and insurance. In the event of an accident, the insurance covering your personal vehicle is always PRIMARY for you and the University. The University's insurance will cover in EXCESS of your primary limits for liability (damages to a third party) and will reimburse you for the deductible under your own policy up to a maximum of $1,000 for any physical damage to your vehicle from the accident.

What is the insurance coverage for missing, stolen, or damaged owned or non-owned property?
 
     The University's Property Insurance coverage responds to the loss of all owned or non-owned property in the care, custody or control of Princeton University. A deductible of $1,000 may be charged back to departments depending upon the nature of the loss.

     Insurance reimbursement for losses of owned property is made on a repair/replacement basis. In order for the ORM to consider a claim, the following must be received:

  1. Public Safety/Police Report or detailed narrative of the event giving rise to the loss.
  2. Proof of ownership (i.e., copy of the original purchase order for the property and paid invoice).
  3. Evidence of replacement of and/or repair cost to the property.
  4. In the instance of non-owned property, a copy of the agreement between the property owner and the University and the Public Safety report.

Is there insurance reimbursement for personal property that is lost, stolen or damaged on or off campus? While on University business? In a personal or rented vehicle?
 
     The University's insurance does not cover personal property lost or stolen while on a business trip or on campus. It is suggested that you file a claim with your insurance company as a possible source of reimbursement.

     If you reside in University owned housing, you may want to investigate and purchase personal property insurance for tenants. The Housing Office has information and brochures regarding insurance that offers personal property coverage for students and faculty in University owned housing.

What is the coverage for vehicles owned by the University?
 
     The University purchases insurance from a commercial carrier for the University's fleet. Insurance is in place for liability only (claims from third parties). Coverage for physical damage (collision/comprehensive) to owned vehicles is self-insured by the University. Claims for damages to owned vehicles should be forwarded to the ORM. Claims for physical damage are adjusted by the ORM subject to a $1,000 deductible that is charged to departments.

What steps should be followed in the event of an accident involving a University vehicle or a rental vehicle?
 
  1. In the event of physical injuries, take immediate steps to seek medical attention.
  2. Notify local police department in the city or town where the accident occurred.
  3. Follow instructions regarding accident reporting and required notification. For University-owned vehicles, instructions are contained in the glove compartment. For rental vehicles, following instructions provided by the rental agency.
  4. If other vehicle or party is involved in the accident, secure, if possible, the other party's name, address, telephone number, and insurance information.
  5. Provide the other party with the insurance information for the University vehicle, as well as your name, address and telephone number.
  6. Provide the other party with the insurance information for the University vehicle, as well as your name, address and telephone number.
  7. As soon as possible, call the ORM at 609-258-3349 or 258-3046, your immediate supervisor, and Public Safety at 609-258-3134 to report the accident.

I am renting a vehicle for a business trip. What insurance coverage should or should not be purchased from the rental agency?

Can I file a claim for damages to my personal vehicle while legally parked in an assigned University parking lot?
 
     The University provides reasonable and safe parking for all employees. A claim can only be considered if there is clear evidence that the damage occurred as a result of negligence on the part of the University or if a University vehicle can be identified as having caused the damage. The University vehicle would need to be identified by make, year and plate number.

     All other claims should be filed with your personal auto carrier.

Am I insured for Workers' Compensation while I am performing private consulting services for a client during time off granted by the University?
 
     You are in the status of a Private Contractor when you take time off to do consulting for a personal client. As such, you have no coverage under the University's Workers' Compensation Policy or any other University insurance policy.

When am I covered by Princeton's insurance policies?
 
     Coverage under a Princeton insurance policy only applies when you are clearly acting within the scope of your employment with Princeton. Coverage does not apply while you are performing private consulting.

Can I request a copy of a Public Safety report?
 
     Public Safety reports are generated for internal purposes only and therefore it is the policy of the University not to share these reports with others.

 
11.)
My group wants to hold a meeting on University premises. What are the insurance requirements?
 
     The University does not accept risks for events/activities of others on the campus unless they are specifically invited or the activity is within the educational mission. In this instance, the University's coverage would apply. However, given the high level of the deductible in the University general liability coverage, the University may decide under certain circumstances to purchase "special event" coverage. When separate insurance is purchased, the cost of the policy will be charged to the appropriate department or organization. (See also General Liability Insurance Requirements).

Are there insurance requirements for vendors or contractors?
 
     Requirements for vendors are outlined on the back of the University's Purchase Order form. Contractors have minimum limits of insurance. However, they vary depending upon the nature of the work being performed. For help in reviewing the coverage, please call the ORM with additional information on the work or service to be provided. What do I need to do if evidence of insurance is requested for property that the University will be leasing or renting long term?
 
     If we are obligated by agreement/contract to provide insurance for property that the University will be leasing or renting and the property will be in our care, custody and control, there is coverage under the University's policy. A copy of the contract/agreement with details as to the value of the property, dates of lease, name of requester, etc., will need to be provided to the ORM. Once the required information is received, the ORM will provide evidence of insurance.

What if trucks/large vans are rented and Princeton's insurance is requested?
 
     Students need to submit authorization from the Dean of Student's Office and to provide all of the details for the rental to the ORM. Staff and faculty members need to provide a copy of the rental agreement to the ORM prior to the rental. Certificates of insurance are issued by the ORM as requested.
