Princeton University's general and automobile liability insurance policies provide coverage for the activities of alumni organizations acting in an official capacity on behalf of the University. Insured Alumni organizations include the following: the Alumni Association; the Alumni Council; recognized classes; associations and clubs, including their officers, members, agents and executive committees. Alumni organizations are considered insureds while acting or deemed to be acting in an official capacity on behalf of the University. Coverage The policy provides coverage for claims which arise as a result of bodily injury and property damage (non-owned auto) including the obligation to defend a claim brought against the University or an alumni organization. Coverage is provided on and off campus, worldwide. Claims arising as a result of the serving (but not selling) of alcoholic beverages are covered as long as local laws and regulations are obeyed. Automobile Claims The University's automobile liability policy provides coverage for damage caused by the use of a licensed leased, hired, rented or borrowed automobiles including family members' automobiles while used for alumni activities, with the exception of physical damage to such vehicles. Physical damages to automobiles used for alumni activities is not insured; however, for autos owned by alumni or family members, the University will reimburse the owner for their deductible for physical/collision damage up to $1,000 per loss. In addition, the liability coverage of an alumni-owned vehicle as required by New Jersey law will be primary to the University's coverage. Principal Exclusions

Use of Personal Vehicles While on University Business When staff and faculty use a personal vehicle while on University business, pursuant to New Jersey motor vehicle laws, their personal insurance is always Primary. The University provides reimbursement at a stipulated rate per mile. (Consult Travel Department for exact mileage allowance.) A portion of the mileage allowance is considered to cover the costs for gas, oil, repairs, depreciation and insurance. Staff and faculty are required to comply with all state regulations when operating a vehicle on University business, including maintaining the minimal amount of insurance coverage required. The University does provide insurance in Excess of personal insurance limits for any accident incurred while on University business. The University provides reimbursement for physical damage to staff/faculty vehicles involved in an accident while on University business. Reimbursement is made for the amount of any collision/comprehensive deductible under your own insurance up to a maximum of $1,000. Policy for University Owned Vehicles All University vehicles are to be used only for "Official" University related business. The University self-insures all physical damage to University vehicles and will reimburse departments for repairs for physical damage subject to a $1,000 departmental deductible. All University drivers must be registered with the Department of Public Safety and, for van usage, must be "van certified." The University purchases Business Travel and Business Travel Accident Insurance for the benefit of staff and faculty while traveling on University business. This coverage is not available for vacation or leisure travel. International SOS There is a 24 hour travel assistance program available for all faculty, staff, and full-time students who travel abroad for research, for a University approved program, or as part of the undergraduate educational experience. Staff and faculty are covered while traveling on the business of the University, provided such travel is to a point or points located away from the premises of the University. Commutation travel is excluded as well as travel in a private aircraft or in an aircraft owned, operated or leased by the University. Business Travel Accident Insurance Policy At no additional cost to employees, additional benefits are provided through a separate Business Travel Accident insurance policy issued through Chubb purchased by Princeton University. The policy provides accidental death coverage based on an amount equal to five times your annual base earnings, subject to a maximum of $500,000. If an aircraft involves a group of employees traveling together, the maximum combined benefit is $10,000,000. This policy also provides $1000 in accidental death coverage for students traveling abroad on University sponsored trips, as well as students participating in academic credit programs and internships in the United States. Those eligible for coverage under the policy include all staff and faculty on the regular payroll in active employment and those employees in a "visiting" rank who are specifically directed to travel on behalf of the University. Coverage is available while traveling on University business as long as such travel is to a site off University premises and travel expenses are reimbursed by the University. Who Must Provide Insurance Under a variety of circumstances, outside organizations are required to provide evidence of commercial general liability insurance and to name the University as an additional insured to the organization's insurance policy in order to be permitted to conduct business on University property. All such arrangements require a written contract or agreement with the University. Examples of organizations which must meet these insurance requirements are:
Insurance Required The minimum limit for Commercial General Liability required by outside organizations is a combined single limit of not less than $2,000,000 for bodily injury and property damage.

Loss, Theft or Damage to Personal Property The University does not cover personal property or currency lost, stolen or damaged during a business trip or on campus. Students and staff are encouraged to contact their homeowner or auto carriers for possible reimbursement of personal property loss, theft or damage. Staff, faculty, and students residing in dormitories or in University owned housing may want to investigate and purchase personal property insurance for tenants. The Housing Office has information and brochures from an insurance company that offers personal property coverage for students and faculty in University owned housing. Loss, Theft or Damage to University Owned Property The University's Property Insurance responds to losses of all owned or leased buildings, contents and equipment as well as the property of others in the University's care, custody or control. Under certain circumstances, departments may be charged a deductible of $1,000 for losses occurring within their department. Insurance reimbursement for losses of owned property are made on a repair/replacement basis with property of like kind and quality (depreciated cash value if not replaced). Loss, Theft or Damage to Non-Owned Property The University's Property Insurance does not respond to losses for non-owned property unless the University has assumed liability by way of a written contract or agreement. The ORM must be notified prior to the initiation of a contract or agreement wherein the University will be assuming liability for the non-owned property. Business Travel in the U.S. - Avis - Hertz - Enterprise The Office of Risk Management has contracts for negotiated rental rates with participating Avis, Enterprise, and Hertz agencies that includes $25,000 coverage for automobile liability insurance and physical damage coverage in excess of $3,000. At the time of rental, renters should verify that insurance is included in the rental agreement at no additional charge. Because of the potential significant savings, every effort should be made to rent from Avis (the primary/preferred agency). However, when it is not practical or possible, please use Hertz. For rentals of seven-passenger mini-vans, the Enterprise Rent-a-Car agency should be used. Insurance is included. Reservations need to be made in advance using Princeton's Avis, Hertz or Enterprise corporate number.

Business Travel in the U.S. with Other Rental Agencies If it is not practical or possible to rent from Avis, Hertz, or Enterprise, faculty and staff should decline all insurance coverages offered by other rental agency. Coverage would then be available under the University's policy.
International Business Travel Because insurance laws vary outside the United States, faculty and staff must purchase the liability and physical damage insurance offered by all rental car agencies. Insurance is included for rentals at participating licensed Avis and Hertz locations within the 48 contiguous states ONLY. Students may not rent vehicles when travelling abroad except in emergencies. Business Travel in the U.S. for Student Drivers on Official University Business AVIS (not Hertz) has agreed to rent and include insurance coverage to Approved Student Drivers (those who are registered with Public Safety) between the ages of 18 and 25 who are on official University business. Only registered students are permitted to drive rental vehicles. Reservations for approved student drivers must be made in advance using the University's corporate number. Students should decline additional insurance coverage when traveling on official University business. Enterprise has agreed to rent mini-vans to approved student drivers who are at least 18 years of age or older and on official University business. Student drivers must have successfully completed the on-line training course and passed the van certification road test. Students must also present authorization from Princeton University Administration at the time of the rental. Reminders For All Rentals Note: Hertz now charges $27/day for drivers under 25 years old. The renting department is responsible for the first $1,000 of damage to a rental vehicle. The Princeton American Express Corporate card does NOT provide insurance for any auto rentals. When renting for a combination of business and personal use, please note that the insurance applies only when the car is being used for business purposes. All accidents, regardless of the severity or damage, must be reported immediately to the ORM and to the rental agency when the vehicle is returned. Private insurance is available for purchase. This insurance supplements the University's published refund policy by ensuring the refund of 90% of tuition and room and board charges if a student takes a leave of absence or withdraws due to illness or accident after the beginning of the academic term. Participation in the Tuition Refund Plan is entirely optional. The University's refund policy is applicable whether or not a student enrolls in the Tuition Refund Plan.
