II. Event Planning and Registration


A. Organization Recognition
A new organization must first be “recognized” by the University to be eligible for certain privileges available through the Office of the Dean of Undergraduate Students.  To become a recognized organization, a group must complete an application to the Student Group Recognition Committee of the Undergraduate Student Government (USG).

B. Available Venues
The available facilities most frequently used for student-run theatrical productions are the Film and Performance Theater at Frist Campus Center, the Class of 1970 Theater at Whitman College, the Matthews Acting Studio at the Lewis Center for the Arts, the Forbes College Black Box Theater, the Wilson College Black Box Theater and the Hamilton Murray Theater.  The Student Organizations web page lists other available spaces for student events and the scheduling department for each facility.

  • Film and Performance Theater at Frist Campus Center - Room 301 Frist. This theater has fixed seating for 197 on the main level and 42 in the balcony. The raised performance area is 41' wide and 20' deep and is equipped with a front projection screen (24'x13'6"). For scheduling and policies, see the Frist Campus Center web site.
  • Class of 1970 Theater at Whitman College - The ¾ thrust space has an 18’ by 18’ playing area.  Upstage of the thrust is an 18’ deep by about 40’ wide area for backstage purposes or as an additional playing area.   The theater holds 61 fixed seats and 4 removable handicapped seats.  There are plenty of fixtures to create a simple wash of light for an event, or they can be supplemented by a rep plot to create a more theatrical mood.  The grid height is 11’-6”. Microphones and a sound system are available in the space, as well as headsets.  The centered booth has plenty of room for a light board operator, sound operator and stage manager.  There is a movie screen and projector in the hall for your viewing pleasure.  The dressing room downstairs can hold up to 12 people.

    To reserve this space, please verify its availability for the dates you want through Resource25; if it is free contact the Whitman college administrator, Kristin Frasier.

    The theater is available only to University groups. No group may use the theater equipment until they have been trained by the appropriate University office.

  • Marie and Edward Matthews '53 Acting Studio - This is primarily the home of Program in Theater student thesis projects and priority is given to academic department work.  Some space is available for extra curricular student groups and each Spring the Director, Faculty, and Staff of the Program in Theater create next year's schedule.  For consideration contact Darryl Waskow, Managing Director, in March to request space for the following academic year.  The seating configuration can be flexible and seats between 60 and 90.
  • Forbes Black Box Theater – Anyone is eligible to use the Forbes College Black Box Theater, but Forbesians are given preference if there is a schedule conflict.  The theater is handicapped-accessible and has a seating capacity of 81 with 1 approved seating layout.  For more information and technical specifications, contact Alison Cook, the Forbes College Administrator at 8-6095.
  • Wilcox Black Box Theater – This space is a multi-function room.  The home of the Black Box Dance Club on Friday nights, it can also be a movie screening space, or used to show off your talents.  The space holds 49 auditorium seats on raised risers.  There is also the option to add a total of 30 chairs on the carpet left and right to create a thrust-like space.  Two columns frame a smooth floor 20' wide by 20' deep, or you can expand onto the carpet to create a 42' wide by 20' deep area. Contact the Wilson College Office at 8-3629 to schedule. Groups wishing to use the theatrical lighting are required to meet with Liz Lammer or Chris Gorzelnik, Alexander Hall, Special Facilities, for operating instructions.   • Hamilton Murray Theater - Theater Intime maintains the 189-seat Hamilton Murray Theater.  This theater has fixed seating and a proscenium stage. Scheduling of this space is managed by the Theater Intime Production Manager, who can be contacted at intime@princeton.edu.

Please keep in mind any seat in a modifiable seating arrangement must be no more than 11 seats from an aisle.  If there are questions about seating capacity or arrangements, especially in unusual or outdoor venues, please contact the University Fire Marshal at 8-6805 or rgg@princeton.edu.

C. How to Register an Event and Reserve Space on Campus
Recognized student organizations planning to use University facilities or grounds for an event must register the event with ODUS at https://studentevents.princeton.edu.  For more information, please visit the Event Planning section of the ODUS website.

D. Pyrotechnics and Fire Code Permits
When open flames or pyrotechnic devices (such as flashpots) are a planned part of the performance, contact the University Fire Marshal at 8-6805 or rgg@princeton.edu a minimum of 4 weeks before the performance to obtain a fire code permit application.  Fire Code permits from the township or borough are required for these types of devices:

  • Open Flames: Require a type 1 permit at a cost of $100.00.  A type 1 permit must be obtained for any open flame or flame producing device for each individual presentation.  Open flames include candles and cigarettes.
  • Fireworks/Pyrotechnics: Require a type 3 permit at a cost of $276.00.  A type 3 permit must be obtained for the storage or discharge of fireworks.  Pyrotechnics include flashpots and flashpaper.

E. Special Effects
Certain special effects should be reviewed to ensure all necessary safeguards are in place. Contact the Production Office at Richardson Auditorium (8-6090 or cgorzeln@princetone.edu), The Program in Theather and Dance (8-3733 or waskow@princeton.edu) and Environmental Health & Safety (8-5294 or kstates@princeton.edu) at the earliest phase of production if the performance involves the use of

  • Knives, swords or guns
  • Items suspended over the audience
  • Pits, trap doors or other changes in elevation
  • Fog or smoke
  • Strobe Lighting
  • Lasers
  • Rigging or flying performers
  • Any unusual stage effect which raises safety/health concerns

If the production involves knives, swords, guns or any other type of prop weapon, these props must be registered with the Office of the Dean of Undergraduate Students. A representative from the production must meet with Dean Dunne to determine the appropriate procedures for storage and transportation of these props.
