Occasional Lectures and/or Consultation by J-1 Scholars

Occasionally J-1 research scholars and professor are invited to deliver lectures, seminars, etc. or to consult and be paid by an entity other than those listed as providing financial support on the DS-2019 form. It is possible for a J-1 scholar to receive honoraria, compensation and/or reimbursement for expenses from an entity other than those named on the DS-2019 but he/she must first obtain approval in writing from the J-1 program sponsor if such activity will take place in he U.S. Such approval may be given for occasional lectures, short-term consultations, or a more sustained or collaborative activity. A request for approval of such outside activity is evaluated in terms of the J-1's program objectives and the individual circumstances.

The proposed activity:

• must be directly related to the objectives of the Exchange Visitor program (a research scholar in chemistry cannot be given permission to teach tennis lessons)

• must be incidental to the primary program activities (the activity must be in addition to his/her duties at Princeton and cannot interfere with fulfillment of responsibilities to Princeton)

• may not delay the completion of the Exchange Visitor program 

IF YOU ARE A J-1 SCHOLAR SPONSORED BY OTHER THAN PRINCETON UNIVERSITY, P-1-00180, YOU MUST CONTACT YOUR SPONSORING AGENCY TO OBTAIN WRITTEN PERMISSION FOR ANY INCIDENTAL ACTIVITY FOR WHICH YOU WILL RECEIVE HONORARIA, COMPENSATION AND/OR REIMBURSEMENT. 

If you are a J-1 scholar under the J-1 visa sponsorship of Princeton University, P-1-00180, and you wish to apply for authorization to be paid by an entity other than those listed on the DS-2019, you must do the following:

Obtain a letter or email from the outside entity describing the following:

· the activity in which you will be engaged (delivering a lecture, conducting a seminar, participating in a workshop, etc.) including the field or subject in which you will be working (must be related to the field on the DS-2019)

· the dates of the activity

· the time commitment (# of hrs. per week) if other than an occasional activity

· the field or subject in which you will be working (must be related to the field on the DS-2019)

· the amount of compensation (honoraria, reimbursement for expenses, $ per hour, etc.)

A letter of invitation often already contains this information.

Obtain Dean of Faculty (DOF) permission letter (or email) for any activity for which you must receive DOF permission. See the Section on Outside Professional Activities of the Appropriate Rules and Procedures publication. Submit the letter(s) or email(s) to Mary Idzior, Director of Visa Services, by FAX to 258-2502 OR by email to idzior@princeton.edu

If the activity is an occasional lecture, permission will be granted in the form of a letter. You should present the letter to the outside entity as proof of your authorization to be paid or receive reimbursement. The letter can be provided to you or to the payor if you provide the name and address or FAX number to whom the letter should be sent. You must be paid as an "independent contractor". The term independent contractor means that you do not have a sustained employer-employee relationship with the person or institution for which you are working. You do not complete an I-9 form (Employment Eligibility Verification Form) with that person or institution.

If the activity is of a more sustained nature (teaching one course at another institution that will last a whole semester), Visa Services will prepare an amended DS-2019 form that will include the funding from the additional entity. We will notify the U.S. State Department of these changes in activity and funding and provide you with an amended DS-2019. The amended DS-2019 along with your I-94 and proof of identity will be used to complete an I-9 Employment Eligibility Verification Form with your other employer.
